Create a document

This page explains how to create a document, add pages and write content. A document is a set of pages that belong together (for example, a product manual or a help center).

Create a document

  1. In the document list, click "New document".
  2. Enter a title and click "Create".
Screen for creating a document

The document you created appears as a card in the list. Click the card to open the document overview (dashboard).

Document dashboard

Click "Edit" on the dashboard to open the editor.

The editor

Editor
  • Left: page list — Shows the pages of the document as a tree. Click a page to open it.
  • Center: content — Edit the content of the open page.
  • Right: settings — The "Document" tab shows settings for the whole document (public URL, appearance, AI chat and more), and the "Page" tab shows the information and settings of the open page.

You can open and close the left and right panels with the button at the top of each panel.

Add a page

  1. In the page list, hover over the page you want as the parent and click the "+" that appears.
  2. An "Untitled page" is added as a child page and opens.
  3. Enter the page title in the title field above the content.

The first page (the page with the same name as the document) becomes the top of the public site.

Write content

Content is built by arranging blocks, such as headings and paragraphs. Type "/" on an empty line to open the list of blocks you can add. Keep typing part of a block name to narrow the list.

For when to use each block and how to work with it, see Available blocks.

Drag the "⋮⋮" handle on the left of a block to reorder blocks.

Your edits are saved automatically; there is no save button. What you save is the "working content", which readers do not see until you publish. For how to publish, see Publish a document.

Choose what each page shows

For each page, you can choose which parts of the public site to show, such as the header and the page tree. For example, you can hide the header on the top page only.

  1. In the editor, open the page you want to set up.
  2. Open the "Page" tab in the right panel.
  3. Under "Public page settings", turn on the items you want to show and turn off the ones you want to hide.
ItemWhat it shows
Show headerThe header at the top of the public site (the document name or logo, and links)
Show page treeThe list of pages on the left of the public site
Show breadcrumbsThe path from the top page to this page, above the content
Show previous/next linksLinks to the previous and next pages, below the content
Show footerThe footer at the bottom of the public site

All items are on by default.

These settings take effect on the public site when you publish the document. You can check them in the preview before publishing.

Links to the previous and next pages

Shows "Previous" and "Next" links below the content so readers can read the pages in order. Each link shows the title of the page it goes to.

  • Order: The order of the page list on the left, from top to bottom (parent page → child pages → next page). If you reorder the page list, the previous and next pages change too.
  • First and last pages: The top page has no "Previous" link, and the last page has no "Next" link.
  • Hidden pages: Pages you have hidden do not appear in the previous/next links either.

For example, keep them on for user guides that are read step by step, and turn them off for standalone pages such as announcements.

Page description

You can set a description for each page. It is shown under the title in search results and when the page is shared on social media.

  1. Open the "Page" tab in the right panel.
  2. In "Description" under "Search & sharing", summarize the page in one or two sentences (up to 160 characters). It is saved when you click outside the field.
  • When it is empty: A description is created automatically from the first paragraph of the content (headings and tables of contents are not used).
  • Tips: Write "what readers will learn on this page" for someone deciding whether to open it (for example, "Compares the monthly fees and features of the three pricing plans.").
  • When it takes effect: Like other settings, it takes effect when you publish the document.

Preview

Click "Preview" at the top right of the editor to check the working content as it will look when published.

Rename or delete a document

  • Rename: Click the title in the "Document" tab of the right panel.
  • Delete: Click "Delete document" at the very bottom of the right panel. All versions and pages are deleted with it. If the document is published, publishing also stops.

Archive a document

Instead of deleting a document you no longer use, you can archive it. Archiving stops publishing while keeping the content, and frees up a document slot in your pricing plan. It is also useful before reducing your document slots or changing plans.

Only the organization's Owner and Admins can archive documents. Available on all plans.

Archive

  1. In the editor, open the "Document" tab in the right panel.
  2. Click "Archive" at the bottom.
  3. On the confirmation screen, click "Archive".

An archived document works as follows.

  • Publishing: Publishing stops. The document can no longer be viewed on the public site, in the AI chat (including embeds) or on a custom domain. A published document becomes unavailable as soon as you archive it.
  • Editing: The document can no longer be edited (it can still be viewed). Its content and subdomain are kept.
  • Document slots: It no longer counts toward the number of documents in your pricing plan.
  • List: In the document list, its card shows "Archived".
  • Retention: Archived documents do not expire. They are kept and not deleted.

Restore from archive

  1. Open the editor of the archived document.
  2. In the "Document" tab of the right panel, click "Restore from archive".

Once restored, the document can be edited again, and pages that were published can be viewed again. Restoring requires a free document slot. If none is free, "No document slots are available" appears; archive another document or add slots. For adding slots, see Pricing plans.

When documents are archived automatically

If your document slots decrease and your current documents no longer fit, for example when you return to the Free plan after canceling or a failed payment, documents over the limit are archived automatically, starting with the most recently created. The organization's Owner is notified by email about the archived documents.

To change which documents are kept, archive one of the remaining documents first, then restore the document you want to keep.
